Practice Managers – Double-Check Best Practice Licence Submissions Before Paying

A recent case highlights why careful licence management is essential.

One practice submitted a request for 4 full-time and 2 part-time doctor licences to Best Practice. The invoice was issued and paid. However, the licences were not scheduled to be activated until a few weeks later.

Before activation, the Practice Manager realised one of the part-time doctors had changed to locum work, with an irregular and unpredictable pattern. They contacted Best Practice to amend the licence.

Best Practice’s response: It was too late to change — even though the licence in question had not yet been activated.

Lesson:
Always verify your list of active and upcoming doctors before submitting for invoicing. Any post-payment changes may not be accepted, even if licences are unused.

Side note: With current pricing and rigid licensing policies, Best Practice may face strong competition from emerging software providers — in particular, one specific emerging competitor. If policies don’t adapt, BP could find it challenging to remain competitive in the changing market.

Practical tip: When renewing or adding licences, ask Best Practice to include a written clause allowing amendments for licences that haven’t yet been activated. This may help avoid paying for unused or unnecessary licences if staffing changes occur.
